Mon Valley Initiative is currently hiring an administrative assistant.
This is a full-time position with a salary range of $20,800 to $25,000.
The ideal candidate will have an associate’s degree and past experience as an administrative assistant. Candidates should have excellent inter-personal skills and should be proficient at using Microsoft Office applications, especially Word and Excel, including the ability to create mailing lists and mailing labels through mail-merge.

To manage and perform the administrative support tasks of the Mon Valley Initiative (MVI), specifically the Workforce & Business Development Program in a manner which facilitates MVI’s objectives and to maintain a strong commitment to professionalism, performance and quality.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
Answer the phone and direct calls for the entire MVI organization.
Welcome all visitors to the MVI office; determine their purpose; connect/direct them to the appropriate staff or meeting location.
Ensure that Workforce clients sign in properly.
Be well-informed about each of MVI’s program areas in order to be able to properly respond to any inquiries regarding these programs.
Assist as directed with the coordination of external meetings and special events.
Provide strong administrative support to the Workforce & Business Development Director.
Work in partnership with other Workforce & Business Development Team members with a supportive, positive attitude to accomplish individual and Team goals, which include:
Transfer all registration calls for orientation, computer class and transportation assistance to the In-take Coordinator.
Make orientation reminder calls.
Make Job Club client follow-up/reminder calls.
Assist with mail mergers for all in-house printed materials, as directed.
Assist with the coordination of transportation assistance, bus passes, and/or bus tickets.
Assist all Teams with researching and collecting materials of interest to clients for distribution in the display holders as directed.
Take the lead in supporting MVI staff who are hosting meetings/events in the office with set-up/clean-up.
Be thoroughly aware of all scheduled meetings and events being hosted in the MVI offices in order to be able to properly respond to any inquiries regarding these activities.
Keep the public areas of the MVI offices in excellent condition, neat and well-stocked with supplies.
Receive mail and distribute.
Check for faxes and distribute.
Perform copying, faxing, and similar basic administrative tasks as needed by Teams.
Maintain the MVI corporate filing system .
Maintain and order office supplies in conjunction with Finance Team.
Assist with mass/bulk mailings as needed.
Build and/or maintain cordial relationships with MVI Board, staff, clients, community and regional partners as needed.
Prepare reports and documents as needed.
Assemble and mail MVI Board packets for board meeting, as needed.
Assemble and mail Committee meeting packets as needed.
Other duties as assigned.

EDUCATION and/or EXPERIENCE:
Minimum High School Diploma and/or GED and minimum 5 years of experience.
Associates Degree or Training Certification Preferred.
Strong commitment to community-based development and revitalization.
Ability to recognize confidential information and maintain its confidentiality.
Proficient with current computer software applications, including MS Windows and MS Office software
package (Excel, Word, PowerPoint and Access).
Good interpersonal skills and the ability to relate well with a diverse population.
Excellent organizational skills and must be able to maintain accurate files.
Ability to manage multiple tasks and priorities and to meet deadlines.
Attention to detail.
